The Challenge: Growing Pains & Spreadsheet Fatigue
PCR Biosystems experienced rapid growth during the pandemic, expanding to serve clients globally. However, their internal systems couldn’t keep up with their success.
They faced a “Data Black Hole.” Their marketing platform (MailChimp) wouldn’t talk to their database, meaning leads weren’t being nurtured effectively. Worse yet, their reporting process was painfully manual. An administrator was spending 3 to 5 full days every month manually extracting data from finance systems to build individual PowerPoint reports for over 40 global distributors.
They needed a system that didn’t just store data, but actively worked to save them time.
The Solution: A Whole-Company Operating System
PCR Biosystems didn’t simply want to implement a CRM as a sales tool; they needed a central nervous system for the company.
Working with CRM Insights, they turned Workbooks CRM into the hub of their business.
1. The “Auto-Pilot” Reporting Engine
Peter Johnson, Customer Success Director at CRM Insights, implemented a read-only integration between QuickBooks and Workbooks. Now, sales data flows automatically into the CRM and feeds a custom Partner Portal. Distributors can log in and see their purchasing stats instantly.
Result:The manual reporting process was eliminated entirely.
2. True Marketing Integration
By migrating to Force24, embedding email marketing directly inside the CRM became possible.
Result:Marketing journeys, such as their annual Grant Program application process, now run 100% automatically via Zapier and Workbooks, segmenting data without human input.
3. Cross-Department Customization
Most CRMs fail because only Sales uses them. CRM Insights customised Workbooks so the Lab Team can use it for technical cases and the Logistics Team can use it for sample shipping.
Result:PCR Bio no longer needs to “chase emails.” If a salesperson logs a sample request, Logistics is notified instantly.
The Payoff: “Revolutionary” Efficiency
The move from manual spreadsheets to an integrated ecosystem delivered immediate quantitative results.
60 Hours Saved MonthlyThe time previously spent on manual reporting is now used for strategic analysis.
Company-Wide AdoptionUnlike most businesses where CRM is hated, PCR Biosystems has achieved adoption across Sales, Marketing, Lab, and Logistics.
Scalable AutomationThey are nurturing more leads with less effort using the Force24 integration.
“The email marketing stuff in Force24 [with CRM Insights] has been completely revolutionary… It’s been the biggest step change for our team.” - Mary Caudron, Marketing and Communications Manager, PCR Biosystems

I am always confident that they can help us. We’ve never had something that we couldn’t do.

The CRM Insights Difference
Why did this implementation succeed where others fail? Because CRM Insights didn’t just throw a new software product at the problem, they acted as a long-term growth partner.
From training the team on building their own dashboards to suggesting “Custom Records” to replace logistics spreadsheets, Peter and CRM Insights ensured the system grew with the company.
